Functionality and Features

  • Automate how content (documents and files) is organised into spaces (folders) using simple rules that sort content based on metadata (document title, creator, keywords etc) or key words.
  • Find content quickly and easily with Alfresco’s full-text Google-like search capabilities and automatic meta-data extraction and categorisation for Yahoo-like content browsing.
  • Manage access to content by applying security settings to individual users, groups of users, spaces, or individual content items to ensure that sensitive company information is kept secure. Unlike traditional storage systems, the security options are tailored by you to suit how your company works with documents and file content.
  • Library services for document management include file check-in and check-out for automated version control, an audit trail for tracking who created/updated content and when, and the ability to cross-link documents across multiple spaces to maximise information sharing and knowledge transfer.
  • Design automated workflows that manage how a document moves through its life cycle, e.g. through each stage of a project or through different departments within your organisation. Create simple workflows based on ad-hoc tasks assigned to individuals, or complex workflows that automatically move documents between different spaces or security levels as tasks are completed.
  • E-mail documents directly to spaces and share ideas in discussion forums.

Technical Information

  • Choose between a managed on-site installation or a fully-hosted solution.
  • Zero Footprint Client means there is no need for extra software on user machines or additional in-house IT expertise to administer the system.
  • Alfresco is a Virtual File System so its full functionality is accessible through familiar interfaces:
    • Access Alfresco’s full functionality without ever leaving the Microsoft Office or OpenOffice environment with the Alfresco Office plug-in.
    • Easy-to-use Web interface with a customisable homepage and dashboard for access when you are away from your own computer; or set up a portal for direct access from your company’s website.
    • Mount as a shared drive, with files and folders access displayed in Windows Explorer (or similar).
    • Windows Briefcase synchronisation for file portability.
    • Access Alfresco via FTP or NFS (for Unix systems).
  • Supports Microsoft SharePoint Protocol, providing Alfresco users with the same access from Microsoft Office while allowing you the freedom to choose your company’s hardware, database, development and operating systems.
